A Multinational equipment manufacturer is looking for an Office Administrator cum Accounts Assistant for its middle east representative office based in Dubai. Looking for a hardworking and organized resource to be part of Dubai team (5 member). The organization follows flat reporting structure; the right candidate would have an opportunity to grow within the company in line with their Middle East expansion plan.
Primary job responsibilities are:
Accounting:
- Record and document financial transactions and maintain books of accounts.
- Provide assistance to Financial Controller based in Head office in finalizing the statements of account
- Provide information, clarification and support to both internal & external auditors whenever required.
- Whenever assigned - execute financial transactions/ petty cash transactions; manage receivables and payables, and co-ordinate with banks & financial institutions.
Sales Administration and Customer Service
- Handle inquiries received via phone/email in professional manner and provide necessary information.
- Assist the team in correspondence and preparation of documents related to product Inquiry, quote, pricing, purchase order, sales order, Invoices, billing, and delivery of goods.
- Co-ordinate with prospects, customers, vendors, dealers, distributors, partners, branches, factories, head office etc. and facilitate the sales process.
Inventory, Warehouse & Logistics Management
- Coordinate movement of stock from and to the warehouse
- Maintain inventory and all related documentation
- Physical handling and movement of stock as and when required.
- Co-ordinate logistics requirements and arrange any related documentation
- Organize and manage warehouse floor space
PRO / Government Relations
- Manage government relations for matters related to Visa, Labour card, Trade Licence, Lease Agreements etc.
- Co-ordinate with Free zone Authorities as a representative of the company whenever assigned.
General Office Administration & Executive Support
- Proactively co-ordinate to ensure smooth day-today running of office.
- Organize and manage filing and documentation system in the office.
- Co-ordinate and arrange facility management to ensure the Office, Lab and Warehouse is well maintained and is in accordance with the Corporate Identity.
- Provide ad hoc administrative support to Senior Management Executives when ever required.
An ideal candidate will have 3 - 7 years of total experience of which 2 - 5 years in UAE in a similar role.
